At Hitit University, the quality assurance system is carried out with a holistic approach based on stakeholder participation, open communication, and continuous improvement. Within this framework, the Institutional Development and Feedback Meetings are designed to enable academic and administrative staff, as well as students, to directly share their views and suggestions with the university’s senior management, thereby actively participating in decision-making and improvement processes. These meetings aim to strengthen the culture of institutional learning in line with the university’s principles of accountability, transparency, participation, and continuous development.
These meetings are organized to include all major stakeholder groups of the university. Department board meetings, which are usually held at the departmental level under the chairmanship of department heads, are conducted once per academic term under the leadership of the Rector. During these meetings, education and training processes, research activities, community engagement efforts, and quality assurance practices are discussed in detail; the resulting outputs and suggestions provide input for internal evaluation reports (BİDR) and action plans. Student meetings are held once a year in each faculty and vocational school. In these meetings, students’ feedback on educational processes, learning experiences, campus life, and support services is received directly by the Rector, and students’ active participation in quality assurance processes is encouraged. Similarly, meetings held once a year with administrative staff in faculties and vocational schools address service process efficiency, operational issues, and improvement proposals; and additional unit-based meetings with administrative personnel in Rectorate units focus on enhancing the quality of support services and developing institutional capacity.
All opinions, suggestions, and findings gathered from these meetings are systematically compiled under the coordination of the Strategic Management and Quality Office, classified under thematic categories, and analyzed. Common improvement areas identified through this process are integrated into the continuous improvement program, relevant units receive feedback, and implementation processes are monitored. The findings are included in the results and action plans of the annually prepared Institutional Self-Evaluation Report (KİDR), creating a traceable structure in which feedback is transformed into tangible outcomes.
The Institutional Development and Feedback Meetings are directly aligned with the stakeholder engagement, leadership, and continuous improvement dimensions defined by the Higher Education Quality Council of Türkiye (YÖKAK). These meetings contribute to the effective functioning of the “feedback–analysis–action–monitoring” cycle within the university’s quality assurance system, strengthening the understanding of institutional excellence and reinforcing Hitit University’s participatory management culture.
