The University Information Management System (ÜBYS) is a national digital transformation project developed by İzmir Kâtip Çelebi University and supported by TÜBİTAK. This domestically developed software platform aims to digitally and integrally manage all academic, administrative, financial, and managerial processes in universities. In line with the principles of public benefit and sustainability, Hitit University has integrated this system into its management processes and, with its comprehensive and effective level of use, has become one of the leading universities in Türkiye.
ÜBYS has a comprehensive system architecture consisting of 36 modules. Hitit University is among the institutions that utilize the system at the most extensive level. Through these modules, numerous university-wide operations are conducted digitally, traceably, and in a reportable manner. As all academic and administrative documents are created and processed through the system, significant savings in both time and paper consumption are achieved, while operational security and data integrity are ensured.
The system includes a wide range of modules, primarily covering the student information system, personnel management, document management, academic performance system, and quality assurance processes. In addition, strategic modules such as institutional evaluation, assessment and evaluation, survey management, distance education management, alumni tracking system, internal control, document management, and reporting tools strengthen the system’s capabilities.
ÜBYS operates on a single database, enabling seamless information synchronization across all modules and minimizing data redundancy, inconsistencies, and communication gaps. It also provides customizable user interfaces for different user profiles (academic staff, administrative staff, students, and administrators), ensuring both security and user convenience through a role-based access structure.
Hitit University views ÜBYS not merely as a tool to facilitate operational processes but as an integral component of its digital transformation vision. The university’s strategic plan, quality assurance system, internal control framework, and performance management structures are fully integrated with ÜBYS, thereby institutionalizing a data-driven management approach across the university.
Moreover, all operations carried out on ÜBYS are securely stored in digital archives, and performance indicators, reports, and documents relevant to decision-making processes can be generated and monitored instantly. The system also provides a regular and reliable data flow to support external audits and accreditation processes.
